The Senior Specialist, Gift Processing and Data Integrity leads the development and implementation of business rules, policies and procedures for accurate processing and recording of high dollar charitable contributions in CARE’s Salesforce database and managing constituent transactions from donors. This Senior Specialist of Gift Processing serves as lead liaison with members of the Major Gift fundraising team in relation to donor data and gifts, as well as other fundraising teams as necessary. The Senior Specialist will also be considered an essential employee and will work daily with the HQ Support Services Hub at the Atlanta office to assist with mail organization, differentiating between high and low priority incoming checks and process as instructed. Senior Specialist will review monetary gifts, donations and contributions including simple transactions involving cash, check, credit card, auto debit, online/web, etc. to extremely complex transactions involving wire transfers, stocks, bonds, mutual funds, securities, etc. to determine correct deposit allocation and associated accounting entries and documentation. Ensures that all necessary information is obtained, reviewed, verified and appropriately documented within tracking and financial systems in a timely fashion.

Responsibilities:

  • Donation Processing
    • Serve as primary liaison between fundraising and finance departments pertaining high dollar donations, to ensure efficient, prompt deposit of contributions.
    • Responsible for accurate gift entry within prescribed turn times in constituent database (Salesforce), including outright gifts (offline, online), pledge payments, and planned gifts according to the specifications from relevant department, ensuring consistent quality while managing a high volume of contributions from a variety of sources.
  • Quality Control and Reporting
    • Serves as backup for Director of Gift Processing and Data Integrity by collaborating with Finance and payment processing vendors to sort contributions based on tax entities and other internal controls, and create batches of contributions to be entered into donor database.
    • Assist with the daily gift report and weekly Acknowledgement Reports, while providing necessary support for monthly financial reports.
  • Data import and maintenance in Salesforce
    • Assists with mass gift data input and integrations into Salesforce, maintaining standard operating procedures for gift data entry and maintenance.
    • The Specialist will work with the Fundraising, Operations team, and Finance department to identify and resolve issues surrounding gift and donor coding and to resolve any reporting variances/discrepancies.
  • Mail Organization and Donation Deposits
    • Sort and collate incoming and outgoing mail; Differentiate between high and low priority correspondence and process as instructed.
    • Senior Specialist may be expected to deposit high dollar check donations, working with Treasury and Finance to determine correct deposit allocation and associated accounting entries and documentation.
  • Completes other tasks as assigned.

Qualifications:

  • Bachelor’s degree in related field such as Business Administration, Accounting, or a Nonprofit focus, or equivalent combination of education and work experience.
  • 3-5 years of direct experience with donation or transaction processing in a nonprofit setting or related field.
  • 3-5 years of Salesforce experience, or similar CRM is required.
  • 3+ years in Customer Service environment
  • 3+ years working with large and complex non-profits or business settings
  • 3+ years working with vendor relationships and outsourced functions
  • Must have organizational, oral, and written communication skills. Excellent attention to detail.
  • Computer literacy including Excel, Word and database applications.
  • Must have a very customer focused approach to interacting with fellow team members and staff outside of the fundraising department.
  • This individual should have basic office skills including an aptitude for data entry and a tolerance for repetitive tasks.
  • Ability to multi-task effectively and manage many tasks simultaneously, while still meeting deadlines.
  • Incumbent will need to assess when a non-routine situation is encountered and know when to act independently or seek assistance.
  • Good interpersonal skills including problem resolution/negotiation skills.
  • On-the-job training and experience will provide sufficient expertise to solve most problems.
