El propósito del cargo de Oficial de Administración es brindar soporte al servicio de coordinación que ofrece el Foro Internacional a las organizaciones miembros en Venezuela desde Caracas, a través de la organización y ejecución de las actividades administrativas asociadas a este y el apoyo directo al Representante del Foro de ONGI y colaboradores, incluido el Consejo Directivo. La siguiente es una breve descripción del cargo.
Responsabilidades Generales:
- Asegurar el cumplimiento de las acciones de administración del plan anual del Foro.
- Apoyar con la implementación de las actividades de coordinación, comunicación y manejo de información del Foro ONG.
- Implementar procedimientos y actividades indistintamente dentro de la propia función o competencia básica según sea delegado.
- Organizar y ejecutar las tareas de acuerdo con las prioridades y estándares.
- Desarrollar y mantener el conocimiento del área de especialización de trabajo en la que se presta asistencia técnica y apoyo, con el fin de ser más efectivo en el apoyo al equipo.
- Atender la resolución de problemas cotidianos de acuerdo con los procedimientos acordados, prioridades y estándares para el área de trabajo.
- Preparar y desarrollar reportes de estado requeridos.
- Asegurar el archivo físico y digital adecuado de los documentos.
- Promover y compartir ideas para fortalecer las funciones de su rol.
- Guardar estricta reserva de toda la información que tenga conocimiento en razón de su oficio y que sea de naturaleza privada, confidencial o cuya comunicación pueda causar perjuicio a las poblaciones con la que se trabaja y a NRC.
Responsabilidades específicas:
- Apoyar con la organización de viajes para el Representante del Foro y para los visitantes según la necesidad (ordenar boletos y gestión de reservas de hoteles) y ser el punto focal de viajes en Caracas.
- Contribuir en la socialización del plan de acción del Foro y otros documentos y políticas pertinentes.
- Recibir y procesar pagos de miembros del Foro.
- Apoyar al coordinador por el seguimiento de presupuesto del Foro ONGI.
- Desarrollar y gestionar contactos con interlocutores particulares (ej. embajadas y organismos multilaterales) a solicitud del Representante del Foro.
- Preparar, gestionar y registrar las comunicaciones y notas oficiales con órganos y entes públicos venezolanos, así como organismos multilaterales, a solicitud del Representante del Foro.
- Organizar actividades, eventos y reuniones específicas, a solicitud del Representante del Foro o del Consejo Directivo.
- Las demás asignadas por el supervisor en el cumplimiento del objetivo del cargo.
Qualifications
Competencias profesionales:
Profesional universitario en Administración, Gestión de Negocio, carreras en Ciencias Sociales o carrera afín.
Competencias genéricas para este cargo:
• Mínimo tres (3) años de experiencia comprobada en un cargo similar o asimilable.
• Experiencia mínima de un (1) en cargos similares con algún organismo nacional, internacional, con Agencias de Naciones Unidas y/o contexto humanitario.
• Experiencia previa de trabajo en contextos complejos.
• Documentar resultados relacionados con las responsabilidades del puesto.
• Manejo bueno de inglés (deseable).
Competencias destrezas, conocimientos y experiencia específicos:
• Experiencia comprobable relacionada con las responsabilidades del cargo.
• Conocimiento de normativa legal contable y tributaria (deseable).
• Conocimiento en manejos de inventario (deseable).
• Habilidades para el trabajo en contextos multiculturales.
• Experiencia y conocimiento avanzada en el uso de MS Office y otros paquetes informáticos.
• Conocimiento en soporte de equipos informáticos (Laptops, impresora, entre otros).
• Porcentaje de viajes 10%
