2.JOB SUMMARY:

The People Operations Assistant position is responsible for supporting with administrative tasks within the People Department within BOMA’s programmes and operations.

3.DUTIES AND RESPONSIBILITIES

  1. HR ADMINISTRATION AND PEOPLE OPERATIONS
    1. Receive and process documentation for new staff and ensure all placement documents are submitted for compliance.
    2. Maintain and update employee records/files; both on hard and soft copies and ensure information in the HRMIS (Flair) is always accurate and updated.
    3. Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
    4. Support pre-boarding & onboarding of new staff by ensuring they are properly set up as per the onboarding checklist i.e. Flair, work tools and internal systems, branded welcome kit etc.
    5. Support in coordinating onboarding sessions for new staff including the 60-90 days onboarding feedback check-ins.
    6. Support in coordinating employee confirmations and renewal of contracts ensuring they are up to date.
    7. Support in ensuring timely inclusion and removal of employees in various employee benefits.
    8. Assist with the recruitment process by scheduling interviews & performing reference checks as guided.
    9. Assist in addressing employees’ concerns and escalate where need be.
    10. Assists in the co-ordination of staff welfare initiatives and HR Projects as guided.
    11. Support in the offboarding process by ensuring staff have successfully cleared and all exit documents are properly filed.
    12. Provide assistance in organizing and coordinating HR related events.
    13. Assist with the day-to-day HR operations.

4.EDUCATIONAL REQUIREMENTS:

  1. Higher Diploma in HR or CHRP (Bachelor’s Degree in Business with a focus on HR is an added advantage)
  2. Member of IHRM

5. MINIMUM REQUIRED EXPERIENCE:

  1. At least Three (3) Years in a similar position.

6.REQUIRED COMPETENCIES:

  1. Excellent verbal and written communication skills.
  2. Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  3. Excellent organizational skills and attention to detail.
  4. Proficient with Microsoft Office Suite or related software.
  5. Sound core knowledge of applicable labour laws legislation
  6. Ability to work under pressure, meet deadlines and work in a fast-paced environment
  7. Willingness to travel from time to time
