Job Purpose

The Executive Assistant supports, assists, and advises the Regional Director in the smooth and timely performance of her or his job duties and responsibilities. The post holder is also responsible for providing administrative and secretarial support to the Executive Officer and Liaison.


  • University degree in a relevant area
  • Professional qualification relevant to the job
  • Master in Administration or similar management degree – PREFERRED
  • Professional qualification in project management – PREFERRED


  • 7 years of progressive working experience in similar positions
  • 3 years of experience in international agencies, embassies, or cabinets
  • Experience in ‘customer service’, administrative and clerical support
  • Experience in official procedures and rules governing affairs of state or diplomatic occasions
  • Experience in public relations, and social media
  • Experience in multi-cultural environments

Knowledge, Skills and Language

  • Expert in Microsoft 365 applications
  • Excellent professional discretion and confidentiality
  • Excellent attention to detail
  • Excellent diplomatic communications skills and acumen
  • Excellent organisational skills
  • Proficient in working with multi-disciplinary teams
  • Proficient in multi-tasking in a high volume, fast-pace work environment
  • Proficient in being careful and prudent
  • Proficient in critical thinking, analytical and summarizing skills
  • Proficient in time management
  • Familiar in working as a team member as well as independently
  • Familiar with project management


  • Fluently spoken and written English and Spanish
  • Good command of any other Federation language or relevant to the region (French, Arabic, Portuguese) – Preferred
